Refund and Cancellation Policy

This Refund and Cancellation Policy explains what happens to your money when you subscribe to, change, or cancel the hosted offering of Invoicerr, and states plainly, before you pay, the two facts a subscription carries: it renews automatically, and a cancelled period's unused portion is never refunded or prorated. It supplements the Terms of Service — in particular Section 12 (Term, Cancellation and Termination by You) and Section 13 (Suspension for Non-Payment, End of Subscription, Data Archive and Deletion) — and does not restate everything those sections already say. Where this Policy and the Terms of Service could be read differently, the Terms of Service govern.

1. Scope​

This Policy covers only the hosted offering — the paid subscription operated at our own domain(s). It does not apply to the self-hosted software: Invoicerr's source code is, and remains, free and open source under the license published in the LICENSE file at the root of the repository. Running it on your own infrastructure involves no payment to us, so no refund question arises.

2. Who Charges You​

Subscription payments are processed by Polar Software Inc. ("Polar"), which acts as the merchant of record for your subscription (Terms of Service, Section 7.1). In practice, this means:

  • the charge appears on your bank or card statement under Polar's name, not ours;
  • Polar issues the invoice for your subscription Fee, and calculates, collects, and remits any VAT or similar tax due at checkout; and
  • your use of Polar's checkout and billing portal is also subject to Polar's own terms.

We are the provider of the Service — see the Legal Notice for our identity — but Polar is who actually takes the payment.

3. Auto-Renewal​

Your subscription renews automatically. Whether you chose the monthly or the annual billing cycle, it renews at the end of each period, for the same cycle, at the per-Seat rate then in effect, until you cancel it (Terms of Service, Sections 6.1, 6.4, and 12.1). We do not send an individual warning before each renewal charge — cancelling ahead of a renewal date is how you stop it; see the next section.

4. How to Cancel, and When It Takes Effect​

You can cancel at any time, from the Polar customer portal (Settings > Subscription > Manage subscription) or by writing to contact@invoicerr.app. Cancellation takes effect at the end of the period you have already paid for — the end of the current month or year — and you keep full access to paid features until then (Terms of Service, Section 12.2). After that, your Company enters the read-only suspension described in Terms of Service, Section 13.1.

5. No Refund, No Proration​

Cancelling does not entitle you to a refund, in whole or in part, for the period you have already paid for, and we do not prorate a partial period. If you cancel partway through a month or a year, the subscription keeps working until that period's own end date; nothing is credited back for the time you no longer use it (Terms of Service, Section 12.2). This applies equally to a monthly and an annual subscription, and however far into the period you cancel.

6. Seat Changes Mid-Cycle​

The hosted offering is billed per Seat (Terms of Service, Section 6). Your Seat count is kept in sync with your Company's actual membership throughout the billing period, and a change to that count is reflected in the Fees charged for your next billing cycle, unless Polar's own billing mechanics apply the change sooner (Terms of Service, Section 7.3). In practice: adding a Seat mid-cycle can trigger an immediate, prorated charge from Polar for that Seat, billed the moment it is added; removing a Seat mid-cycle does not generate a credit or refund for the remainder of the current billing period — the lower Seat count only reduces what you pay starting with your next bill.

7. The Free Trial​

New Companies receive a fourteen (14)-day free trial, with no payment card required — the trial itself gives rise to no payment of any kind, so no refund question can arise from it (Terms of Service, Section 3.2). During the trial, every feature of the Service is available except the ability to send or issue documents. If no paid subscription is activated before the trial ends, your Company enters the same read-only suspension described in Section 4 above (Terms of Service, Section 13.1).

8. No Right of Withdrawal​

The Service is offered strictly business-to-business. By subscribing, you represent that you are acting for purposes within your trade, business, craft, or profession, and not as a consumer (Terms of Service, Section 1.2). Accordingly, the consumer-protection provisions of the French Code de la consommation do not apply to your subscription, and in particular you have no statutory right of withdrawal (droit de rétractation) in respect of it.

9. What This Policy Does Not Limit​

Nothing in this Policy limits a right you hold under a mandatory rule of law that this Policy cannot lawfully exclude, or our own liability for a failure to perform our obligations under the Terms of Service.

10. Failed Payments and Chargebacks​

If a renewal or a Seat charge fails, your Company can enter the Payment failed status and, if the failure is not resolved, the read-only suspension described in Terms of Service, Section 13.1 — update your payment method from the Polar customer portal to fix it. If you believe you were charged in error, contact us first at contact@invoicerr.app before raising a chargeback with your bank or card issuer: most billing questions can be resolved directly, and faster, that way.

12. Governing Language​

This document is drafted and executed in English. Where we provide a translation into another language for your convenience and understanding, that translation is not a substitute for the English text: in the event of any inconsistency, ambiguity, or conflict between the English version and a translated version, the English version prevails and is the version that governs the rights and obligations of the parties. Translations are provided in good faith to help each audience understand this document; they create no separate or additional rights.

  • 2026-09-20 — Initial draft. Legal audit finding: no product surface told a customer, before they subscribed, that the subscription renews automatically and that no refund or proration is given for a cancelled period's unused portion (Terms of Service, Section 12.2) — the checkout itself is run by Polar, outside this product's own screens, so the moment of payment carried no such notice either. Rather than add a one-line notice, the owner chose a standalone document, linked from the Subscribe buttons in Settings > Subscription and from the same curated legal-links row every other document appears in. States nothing the Terms of Service, Section 12 does not already establish; Section 6 (Seat Changes Mid-Cycle) restates Section 7.3's own seat-sync timing rather than adding a new one.
